Unloading the lines

“Customer: Hi, IT? I have a request.
IT: Good morning, sir. Go ahead. How may I be of service?
Customer: I’d like to have a brand new phone system, along with some tracking solutions for my shop. Can we get this by next week please?
IT: I’m inclined to say no, and I’ll explain why...”

We get this kind of request more often than you might think, which, on the surface, appears to quite benign. But let’s delve deeper and peel away the layers of truth to show how  far-fetched it is.

To put it in context, we’ll take the recent deployment of this type of solution for one of our divisions as an example. We recently installed both the phone system and aSa Tracking solution at the shop.

Let’s take a look under the hood to expose all the seemingly invisible moving parts.

Telephone

The shop had been using an analogue phone system that was dangerously close to the end of its useful life. They needed something better, a top-of-the-line system, so we decided to study their case. We realized it would be cheaper to give them something straight out of the 21st century.

SIP. What is that, you ask? To those of you who think it’s the sound you make while drinking through a straw: wrong! As most of you are still scratching your heads, here’s the heads up:

SIP is short for Session Initiation Protocol. In lay terms, it’s an identifier and a means of controlling multimedia communication sessions. It’s currently the most widely used way of controlling voice, videos or texts on the Internet.

But before deciding that would be the best solution for them, we needed to evaluate the feasibility of such a solution.

For starters, we needed a business case, not an easy thing to tackle.

In IT, this is how we do it: one of us contacts the customer and paints a complete portrait of the their current system. This includes, but is not limited to, their current handset, type of lines, the amount they paid initially and what they pay for every aspect of their service.

In the meantime, another one of us contacts the resellers and presents the complete solution adjusted with the recommendations and spelling out the requirements. And then we order the equipment that will best serve their current and future needs. It’s tailor-made for today, but has openings for future growth. Obviously, we haggle with the resellers throughout the project to get their best price. 

Once all the information has been collected, we prepare a spreadsheet showing how much the customer is paying for the current solution, how much they’ll pay for the potential future solution, how much time before it pays for itself, and roughly how much will be saved yearly by implementing the new proposal.

We wrap up by presenting it to the customer, who will secure a budget for the business case, and voilà!

Load tracking and material tracking

Since there was no existing solution, it was easy to present a detailed description of how much it will cost to deploy these solutions. We laid out the whole process on a spreadsheet with all the information related to the deployment. 

We needed wi-fi, so we asked a company to install the cables around the shops. But why do we need cables for wi-fI, you ask?

In order to deploy radio signals, we need to deliver the signal to the access points, which are connected to antennas that broadcast them.

Once the signal is strong enough, both inside and outside the shop, we go to the site and install all required equipment, such as touch trackers on pylons. We configure the hand scanners, check and verify dead zones, configure the software, test everything and lastly, train the users.

It important to remember that implementing a solution like this is a slow, painstaking process. All the intricacies must come together in one fell swoop—depending on the scale—or the whole machine falls apart.

Now we’ll answer the question we asked at the beginning:

IT: Let’s just say it might take a couple of months, sir.
Customer: OK, I get it. Let’s make it happen.
IT: Sure, we’re here to help.

Cliente: “Buenos días. ¿Tecnología de la Información? Tengo una solicitud.”
TI: “Buenos días señor. Dígame. ¿Cómo puedo ayudarlo?”
Cliente: “Me gustaría tener un sistema telefónico nuevo y algunas soluciones de monitoreo para mi tienda. ¿Es posible tenerlo para la semana entrante?”
TI: “Me inclino a decirle que no y le voy a explicar porqué…”

Tenemos este tipo de solicitudes con más frecuencia de lo que cree, lo que aparentemente parece benéfico. Sin embargo, analicémoslo más profundamente y pongamos en evidencia la verdad para demostrar lo improbable que es.

Para ponerlo en el contexto, tomemos como ejemplo la puesta en funcionamiento de este tipo de soluciones para una de nuestras divisiones. Recientemente instalamos tanto el sistema telefónico como el de monitoreo aSa en el taller.

Veamos bajo el toldo para exponer todas las partes que se mueven que parecen invisibles.

Teléfono

El taller ha estado utilizando un sistema telefónico análogo que estaba al borde del final de su vida útil. Necesitaban algo mejor, un sistema realmente superior, por lo que decidimos estudiar su caso. Nos dimos cuenta de que sería más económico darles algo salido directamente del siglo XXI.

SIP. Se preguntarán qué es eso. Para aquellos que creen que es el sonido que se hace cuando se bebe a sorbos: ¡están equivocados! Como la mayoría todavía se está rascando la cabeza, he aquí la respuesta:

SIP son las siglas en inglés de Protocolo de Inicio de Sesión. En términos simples, es un identificador y un medio para controlar las sesiones de comunicación multimedia. Actualmente es la manera más utilizada para controlar voz, videos o textos en Internet.

Pero antes de decidir lo que sería la mejor solución para ellos, necesitamos evaluar la viabilidad de esta solución.

Para empezar, necesitamos un caso de negocios, algo no muy fácil de abordar.

En TI, lo hacemos de esta manera: uno de nosotros contacta al cliente y realiza una descripción detallada de su sistema actual. Esto incluye, aunque no está limitado a, sus aparatos actuales, tipo de líneas, el monto que pagaron al inicio y lo que pagan por cada aspecto de su servicio.

Mientras tanto, otro miembro de nuestro equipo se comunica con los revendedores y presenta la solución completa ajustada con las recomendaciones y los requisitos detallados. Después ordenamos el equipo que funcionará mejor con sus necesidades actuales y futuras. Se adapta perfectamente para el presente, pero tiene posibilidades de crecimiento futuro. Obviamente, negociamos con los revendedores durante todo el proyecto para obtener su mejor precio.

Una vez que se ha reunido toda la información, preparamos una hoja de cálculo mostrando cuánto está pagando el cliente por su solución actual, cuánto pagarían por la solución potencial, cuánto tiempo tomaría para recuperar la inversión y aproximadamente cuánto se ahorraría por año al implementar la nueva propuesta.

Terminamos presentándoselo al cliente, quien obtendrá un presupuesto para el caso de negocios, ¡y listo!

Monitoreo de la carga y del material

Ya que no había ninguna solución, era fácil presentar una descripción detallada de cuánto costaría implementar estas soluciones. Presentamos todo el proceso en una hoja de cálculo con la información relacionada con la implementación. ¿Es mejor equipo o programas?

Necesitábamos wi-fi, así que le pedimos a una compañía que instalara los cables alrededor de los talleres. Se preguntarán por qué necesitábamos cables para wi-fi.

Para poder implementar señales de radio, necesitamos emitir la señal a puntos de acceso, los cuales se conectan a antenas que las transmiten.

Una vez que la señal es lo suficientemente fuerte, tanto al interior como al exterior del taller, vamos al sitio e instalamos todo el equipo necesario, como controladores (Touch Trackers) en torres de alta tensión. Configuramos los escáneres de mano, verificamos las zonas muertas, configuramos los programas, probamos todo y finalmente, capacitamos a los usuarios.

Es importante recordar que implementar una solución como esta es un proceso lento y meticuloso. Todas las complejidades deben llegar al mismo tiempo —dependiendo de la escala—, o toda la máquina se arruina.

Ahora responderemos a la pregunta que hicimos al principio:

TI: Digamos que podría tomar un par de meses señor.
Cliente: Esta bien. Lo entiendo. Hagámoslo.
TI: Por supuesto. Estamos aquí para ayudar.
